NPC [Education Block]

I didn't want the previous post to be excessively long, so I had separated the summary of the education block into a new post. In this post, each VP had made a summary of the education session which they had attended. If you have further questions or need any clarifications, please do not hesitate to leave a comment here or e-mail anyone of the VPs.

TALENT MANAGEMENT

The TM education session was taught by none other than our dearest Mummy, Miss Serena Chan. Serena introduced the Myers Briggs Type Indicator (MBTI), which is a personality test. This personality test helps us to understand others better and how each personality is able to complement each other in a team.

After that, Serena explained the entire TM process and also what TM is all about. After that, there was a sharing session by LCUSM and LCTUC which were the only 2 LCs who are implementing the Selection Process at the moment. In the coming term, all LCs will be implementing the Selection Process.

Besides that, there was also sharing about the methods to attract talents into AIESEC such as through the design of our booths, the flyers which are distributed.

During NatCon, the TM track will be discussing about standardizing the member's criteria. Hooi Fong is also planning to bring up the topic of members' learning syllabus at the upcoming NatCon.


FINANCE & ADMINISTRATION

FA education was conducted by Ke Vin and Jasmine oversaw the session. The session covered the fundamental job description of FA.

The session was divided into 6 parts:

  1. Documentation

      Documentation was about having proper statements to backup the financial records.

  2. Minutes Writing

      Minutes writing and bookkeeping are self explanatory, with the freedom given to VPFAs on how we want to record things.

  3. Bookkeeping

  4. Budgeting

      The budgeting session included the methods to prepare the budget which is aligned with the activities of the LC

  5. Resource Management & Internal Financial Policy

      Resource Management was regarding the methods to manage our resources efficiently, be it in financial terms or human capital wise. The IFP was also discussed, mainly about the problems faced by each LC on implementing the IFP. For our LC, there isn't any problems as the IFP was implemented since the beginning of our term and the protocols have been followed accordingly.

  6. Analyzing Other Department's Operation & Function

      Analyzing other departments' operation and function was basically about the necessity for the FA department to know what is going on in every department and also the LC as a whole. This is to enable the FA department to align the LC's financial status with current activities. It would also help the FA department to provide support to each department or any individuals with the necessary information.


A more intensive education session will be conducted by Ke Vin after NatCon.


OUTGOING EXCHANGE

During the OGX education block, we were presented with a presentation prepared by the incoming MCVPOGX Monika. She will be bringing in a new OGX flow to Malaysia and we were briefed on it. We also went into planning and reviewing of the OGX goals. There was also a briefing on the changes that are likely to take place in the next term, such as the Review Board and other OGX processes. We were also coached on how to prepare for the OGX planing which is to be done during NATCON.


EXTERNAL RELATIONS

The ER Education Block Output was presented by Boey with Daryl and Jai assisting. It was attended by all LC VPs of Business Development, Corporate Affairs/Corporate Relations, Non-Corporate Relations/Project Management.

Members are adviced to get hold of the Brand XP Toolkit and the Global Talent Program proposal prepared by Daryl as these were the materials used for the session (Please download from myaiesec.net).


INCOMING EXCHANGE

The exchange education block was presented by Khai Lun and Cafrey.

The highlights of the NPC exchange education block include the following:

  1. Exchange process from Matching Onwards
  2. Taxation and PVP (PVP is no longer refered as VISA but is called a Visit Pass)
  3. Exchange Processes in myaiesec.net


According to Cafrey, there will be a guide book on ICX coming out soon, prepared by Khai Lun.


COMMUNICATION

For the Communication Education block, it was separated into two parts. The session was conducted by James and Brandon (MCVP Communication Elect). During the first part, we were given the step-by-step method to create a communication plan and also the Brand Experience.

The second part was a Q & A session. The questions asked were about internal & external communication and online marketing. During this session, there was also a sharing session on the problems faced in their own respective LCs.

INFORMATION MANAGEMENT

This session was conducted by Fadli [Incoming MCVPIM]. To start of the session, Fadli had briefed us about the job description on an Imer and also the grey areas between IM & Communication. The function of the IM department is basically to provide support to every department in terms if knowledge management, such as making sure that members are aware of the XMI analyzer and providing members with the knowledge on where to obtain it.

Besides that, Fadli also showed the IMers the materials used for his transition with Ken Siong. Some of the achievements and non-achievements were discussed. In the upcoming NatCon, the IMers will be discussing on the national initiatives that will be implemented.

There was also a sharing session and the representatives from each LC shared about the general problems faced in their respective LCs.



That is the end of the summary for the education block. I know it is rather dry but we just wish to share the things that we learnt during NPC.

National Pioneers Camp 2009 [NPC]

Hey there! This is the first time that I am posting here. I had never been much of a blogger so please bear with the simplicity of the post. I hope you guys had been enjoying the holidays so far!

As you might have noticed from the previous posts by Jia Xiang, the EBs had attended NPC which was held in Ipoh. NPC was basically a brainstorming session to set the National Vision and National Focus Area for the upcoming term [Read the previous post if you want to know what the national vision and NFAs are].

In this post, I will further elaborate on the activities held during NPC.

DAY 1
On the first day, our beloved Serena was in charge of the opening plenary. After the energy-filled opening plenary, we were greeted to a session on the AIESEC Way by Cafrey. Next, we had a review session presented by James which showcased how AIESEC Malaysia had been performing for the entire term.

AIESEC Malaysia had experienced a lot of growth in the term 2008/2009. To date, the exchange number is 232 [Realized + Matched]. 22 more matches to achieve 254! USM were also congratulated for our huge growth in exchange numbers! By June 30th, it has been projected that LCUSM will have 17 realizations. This is thanks to the hard work and love of everyone for the LC. =) Love you guys!

On the night of the first day, there was Friday Night Fever! LCUSM won the square dance competiton again! This is thanks to the 2 signature moves created by Wilson and Muslih!


DAY 2
On Day 2, we start of the day with a telematch game. Then it was of to the brainstorming session to come up with the national vision and national focus area. The next half of the day was the education block where we were separated according to various functional areas. The sessions were presented by the respective MCVPs.


DAY 3
The final day was filled with Q&A sessions and also an overview on upcoming events. Not to forget, there was a presentation of the new Balanced Scorecard by Khai Lun. The following is the link to the new Balanced Scorecard.

It was quite unexpected for us.
Anyway, thanks to Wilson and Muslih that we somehow managed to come up with a new square dance which led us to the victory!
